I missed the deadline for media registration. Can I still register for the Vancouver 2010 Olympic Torch Relay?

The advance media registration for the Olympic Torch Relay is now closed but here is what you can do if you want to cover the relay:

  • Attend the 2010 Olympic Torch Relay in person. You can attend the relay and access all public zones along the route and at the celebration sites without being registered. If you would like to access the media zones — at Celebration Sites only — you will need to check in at the media registration table first, so please arrive early in order to do so. Exact timing and location of the celebration sites will be available several days in advance of each celebration on http://www.vancouver2010.com/torchrelay
  • Register on FLAME, the 2010 Olympic Torch Relay digital asset management system that will include a variety of daily editorial pieces, backgrounders, media-ready photography, and audio and web quality video files taken directly from the Vancouver 2010 Olympic Torch Relay. A link to access FLAME is now available in the media centre on vancouver2010.com.
  • Keep an eye out on the news wire for an advisory that will be issued approximately 4 days prior to the visit of the relay in each celebration community. This advisory will provide details of the local media briefing where the torch relay team will review important information regarding media relations and media operations on the day of the relay visit.

What is FLAME?

FLAME is the torch relay digital asset management system that was built specifically for media. It includes a variety of editorial pieces, media-ready photography and web quality video from the Vancouver 2010 Olympic Torch Relay. FLAME will also include media highlight sheets that outline the daily media-worthy details such as notable torchbearers, celebration locations, and operations’ timing and statistics.

FLAME will be live by mid-October and a link to access it will be available in the media centre on vancouver2010.com. To access it you will need a username and password. If you registered in advance for the Vancouver 2010 Olympic Torch Relay, you will receive your username and password by email around mid-October. If you did not register in advance, you will be able to register directly on the FLAME website homepage in mid-October.

(Torch Relay) I would like to get more technical details about the Torch Relay’s visit in my community (ie. can my outlet bring a satellite truck at a celebration site, what does the relay convoy look like, where will the media zones be situated, etc.), where can I get those?

There will be a local media briefing in every celebration community approximately 48 hours prior to the event. We strongly encourage you to attend the briefing which will provide you with a wide range of important technical and editorial information that you can use to help plan your coverage and develop your stories. The exact time and location will be communicated to you in an advisory on the news wire a few days prior to the briefing.

How can I get access to the media vehicle (Media 1) during the relay?

The registration process details as well as the registration form for Media 1 are available on FLAME, the torch relay’s digital asset management system. You can access FLAME on http://www.vancouver2010.com/flame, click on visit FLAME and Register Now.

Once on FLAME:

  1. Select Editorial

  2. In the drop down menu of categories on the left hand side, select Media 1 registration and press Search

  3. Click on the link in the page called Editorial Media 1 and a window will open

  4. Click on the document situated next to Editorial Review – it contains the registration process and the registration form

It is critical that you follow the registration process outlined in the document, otherwise we will not be able to capture your request.

I successfully registered in advance to cover the Vancouver 2010 Olympic Torch Relay — does my registration include access to the 2010 Winter Games competition venues?

No. Your torch relay media pass will only give you access to media zones at the torch relay Celebration Sites, not to 2010 Winter Games venues. Your pass will expire on February 12. The Vancouver Organizing Committee for the 2010 Olympic and Paralympic Winter Games (VANOC) is not responsible for the accreditation of both domestic and international media to the Games. The National Olympic Committees (NOCs) look after this. Deadlines have passed, but you can contact your NOC to inquire if they have a waiting list.

Will there be filing rooms available at Celebrations Sites?

We cannot guarantee filing rooms at each of the celebration communities. We recommend that you carry the appropriate technology to file your stories on site, in your vehicle, in your hotel room, or, if you are part of the local media, back at your office.

Will you be doing regular satellite feeds during the relay?

The timing and frequency of satellite transmissions will vary according to location and day. Satellite transmissions will be sent out during the Olympic Torch Relay on a regular basis containing b-roll and interviews. If you wish to receive satellite coordinates, please e-mail us at media@torchrelay.vancouver2010.com to be included in the distribution list.

How do I schedule an interview with a VANOC spokesperson?

Please contact our Media Relations department and let us know the media outlet you represent, your deadline and as much information as you can on the topic in which you are interested.

I’d like to visit Vancouver and Whistler. Can you provide transportation and accommodation?

While we are delighted with the amount of interest that media from across the world have shown in the 2010 Winter Games, unfortunately we are not able to assist with these costs. If you do visit the province and are working on a story on the Games, we will be pleased to provide information and schedule interviews with VANOC spokespeople where possible.

What is the process to interview torchbearers on the day of their run?

The torchbearers are the heart and the soul of the torch relay and they will each have extraordinary stories to tell. During torchbearers’ participation in the relay, media will not have access to interview them. The best place to interview the torchbearers will be after their run. As they are all invited to enjoy community celebrations, this will be an ideal location for torchbearer interviews. They will be easily identifiable in their white uniforms.

I am a member of the media visiting Canada to cover the Olympic Torch Relay — what should I know in terms of preparing my visit to Canada?

First and foremost, get ready to have a great time in Canada, and don’t forget to bring lots of warm clothes. Secondly, ensure that you secure accommodation in advance. Finally, we recommend that you have appropriate medical insurance for the duration of your visit.

I write for a website. How do I apply for accreditation?

The accreditation process is the same for all press organizations, whether traditional printed media or online.

How can a radio or television broadcaster apply for accreditation for the 2010 Winter Games?

A small number of non-rights holding radio and/or television broadcast journalists will receive accreditation in the “ENR” press category in order to cover the Vancouver 2010 Olympic Winter Games as a news event.

The International Olympic Committee (IOC) is directly responsible for the allocation of all ENR accreditations, which are not included in each National Olympic Committee’s quota. More information about the application process and the news access rules are available at www.olympic.org. The deadline to apply for ENR accreditation was November 30, 2008.

Press with an ENR credential will have access to the Main Press Centre (MPC). At the competition venues, ENRs will have access to venue media centres, press tribunes and mixed zones but may not bring in any camera equipment, recording devices or other technical equipment.

Non-rights-holding radio and/or television broadcasters can apply for ENR accreditation for the Vancouver 2010 Paralympic Winter Games through the International Paralympic Committee’s media accreditation page.
